By PostMesh team. Published 2026-10-26; updated 2026-10-31.

In the Instagram app, start a post or Reel, tap More options, turn on Schedule this post, pick a date and time, and tap Schedule. A public account can schedule up to 25 posts a day, up to 30 days ahead; for Stories use Meta Business Suite, and to post to other networks too use a scheduler.

There are three ways to schedule Instagram content: the scheduler built into the Instagram app, Meta Business Suite, and a third-party scheduler. They differ in who can use them, what they can post and whether the same post can go anywhere else. This guide walks through each one using Instagram's and Meta's own help pages, then covers the problems people run into, how to pick a time, and how to plan a week of posts in one sitting.

## The short answer

Use the Instagram app if you only post to Instagram and want to schedule photos, carousels or Reels. Use Meta Business Suite if you also want to schedule Stories, prefer working on a computer, or run a Facebook Page as well. Use a scheduler when the same photo or video goes to several networks and you want one calendar for all of them.

**What do you want to schedule?**
- Photos, carousels or Reels, Instagram only → Instagram app: More options, then Schedule this post. Up to 25 a day, 30 days ahead.
- Stories, or a Facebook Page as well → Meta Business Suite, on desktop or in its mobile app.
- The same post on several networks → A scheduler such as PostMesh, which checks each network's limits before sending.
- A post with product tags, a collaborator or a fundraiser → Post it by hand. Instagram's own scheduler doesn't support these.

## How do I schedule a post in the Instagram app?

Instagram's help page on [scheduled posts and reels](https://help.instagram.com/439971288310029) says you can plan ahead by scheduling Reels, photos and carousel posts from the Instagram app. Three rules come with it. Only public accounts can schedule. You can schedule up to 25 posts a day, up to 30 days in advance. And scheduled content keeps the privacy and audience settings that were set when you scheduled it.

### The steps

1. **Start a post or Reel**: Tap Create in the top left, or swipe right anywhere in Feed, then tap Post or Reel.
2. **Pick your media**: Select a photo or video, then tap Next.
3. **Add the details**: Write the caption and add any effects or filters, the same as for a post you'd share now.
4. **Open More options**: Tap More options.
5. **Turn on scheduling**: Turn on Schedule this post, or Schedule this reel for a Reel, then choose a date and time.
6. **Confirm the time**: Tap Done, then tap Back.
7. **Schedule it**: Tap Schedule. The post or Reel waits in your scheduled content until its time.

1. Tap Create, then Post or Reel
2. Pick a photo or video and tap Next
3. Add the caption, then tap More options
4. Turn on Schedule this post and pick a time
5. Tap Done, Back, then Schedule

*The flow from Instagram Help's page on scheduled posts and reels.*

### What does keeping the privacy and audience settings mean?

Instagram says scheduled content keeps the privacy and audience settings that were configured at the time of scheduling. So the settings travel with the post from the moment you tap Schedule. If you change who can see your content after that, the change doesn't reach posts already in the queue. When you change audience settings, open each scheduled item and check it before it goes out.

### What can't you schedule in the Instagram app?

Instagram names four features that aren't compatible with scheduled content:

- Product tagging, so shop posts with tagged products have to go out by hand.
- Collaborative posts, where another account is invited as a collaborator.
- Sponsored posts.
- Fundraisers.

The same help page lists Reels, photos and carousels as what you can schedule. It doesn't mention Stories. If you want to plan Stories ahead, Meta Business Suite is the documented route, covered below. If you're unsure which format a piece of content should be, the [post vs Story vs Reel guide](/blog/instagram-post-vs-story-vs-reel) explains how each one behaves.

> If a post needs a product tag or a collaborator, share it by hand at the time you want. In Meta Business Suite on desktop, Add collaborator appears among the options for managing a post, so that's another place to add one.

## How do I edit, reschedule or cancel a scheduled Instagram post?

Instagram gives two ways into your scheduled content. Both end at the same Options menu with the same four choices.

Instagram: Profile › Menu › Your insights and tools › Scheduled content

*Menu is in the top right of your profile.*

### From your profile

1. Go to your profile and tap Menu in the top right.
2. Under Your insights and tools, tap Scheduled content.
3. Tap Options next to the post or Reel you want to change.
4. Choose Delete, Edit post, Reschedule or Share now.

### From the Create screen

Tap Create, then Post or Reel, then Scheduled. Select the item, tap Options, and choose the same Delete, Edit post, Reschedule or Share now options. This is quicker when you're already making a new post and want to see what's queued.

### What each option does

| Option | Use it when |
| --- | --- |
| Edit post | You want to change the post before it goes out. |
| Reschedule | The content is right but the date or time isn't. |
| Share now | You want it live straight away instead of waiting. |
| Delete | You don't want it posted at all. It leaves the queue. |

Instagram's page doesn't say which parts of a scheduled post Edit post can change. If you need to swap the photo or video and the edit screen doesn't offer it, delete the scheduled item and schedule a fresh one.

## Why can't I schedule posts on Instagram?

When the Schedule this post switch is missing or a post won't schedule, the cause is usually one of the documented rules. Work through them in this order.

| What you see | Likely reason | What to do |
| --- | --- | --- |
| No Schedule this post option | Your account is private | Make the account public in Account privacy, if that suits you |
| No option on a teen account | Accounts under 18 are private by default | A teen under 16 needs a parent or guardian's permission to go public |
| Can't schedule one particular post | It uses product tags, a collaborator, a sponsored label or a fundraiser | Remove the feature or share the post by hand |
| A date can't be picked | It's more than 30 days away | Pick a nearer date and schedule the rest later |
| Can't add another post that day | You've reached 25 scheduled posts for the day | Move some to another day |
| A prepared post is gone | It was a draft saved on another phone, or the app was reinstalled | Schedule posts instead of leaving them as drafts |

### Your account is private

Instagram's scheduling page says only public accounts can schedule. The setting lives in Settings under Who can see your content, where Account privacy holds the Private account switch, per Instagram's [account privacy page](https://help.instagram.com/448523408565555). The same page says business profiles can't be made private at all, so if you run a business profile, this isn't your problem.

### Your account belongs to a teen

Instagram's account privacy page says accounts for people under 18 are private by default. Teens under 16 need a parent's or guardian's permission to switch to public, and 16 and 17 year olds can switch on their own unless they've set up supervision. Because scheduling needs a public account, a teen account that stays private won't get the option.

### The post uses a feature scheduling doesn't support

Product tags, collaborators, sponsored posts and fundraisers block scheduling. If the post doesn't need the feature, take it off and schedule again. If it does, keep the content ready and share it by hand at the time you planned.

### You've reached the limits

The app stops at 25 scheduled posts a day and 30 days ahead. The 30-day window is the one that catches people planning a full quarter. Schedule the first month now and put a reminder in your calendar to schedule the next batch.

### Your draft disappeared

Drafts aren't the same as scheduled posts. Instagram's page on [managing drafts](https://help.instagram.com/1066736386712867) says drafts are saved on your device, can't be opened from another device even when you're logged in to the same account, and are deleted if you uninstall the app. If you prepare posts days ahead, schedule them rather than leaving them as drafts on one phone.

## How do I schedule Instagram posts in Meta Business Suite?

Meta Business Suite schedules posts, Reels and Stories to Instagram, and to Facebook Pages and Groups, from a browser or its own mobile app. It's Meta's own way to schedule Instagram from a computer. For other ways to post from a desktop, see [can you post on Instagram from a desktop](/blog/can-you-post-on-instagram-from-desktop).

### Who can post from Business Suite?

Meta's page on [creating posts on desktop](https://www.facebook.com/business/help/942827662903020) says you need either full control of the Instagram account or Page you want to post to, or content permission for it. On mobile, Meta's [scheduling page for the app](https://www.facebook.com/business/help/609176706604372) says you need at least partial access and must be assigned to manage the accounts.

### Schedule a post on desktop

1. **Open Create post**: Go to Meta Business Suite and click Create post, from the home page or the Content tab.
2. **Choose where it goes**: Under Post to, select your Instagram profile. Add your Facebook Page or a Facebook Group if you want it there too.
3. **Add your photos**: Under Media, add your photos. Meta's limit for posting to Instagram is 10 photos.
4. **Write the text**: Under Post details, write the caption. You can give Facebook and Instagram different text, and add hashtags or a location from the icons below the box.
5. **Pick a time**: Under Scheduling options, select the date and time. Click Active times for suggested slots.
6. **Schedule**: Click Schedule. Publish and Finish later are the other choices if you'd rather post now or keep working on it.

The same screen has a Privacy settings step with Public and Restricted. Meta describes both in terms of who on or off Facebook can see the post.

### What is Active times?

Active times is a button in Scheduling options. Meta says it suggests recommended times based on when your followers were most active on Facebook and Instagram over the past 7 days. Because it looks back only a week, it reflects recent habits, not a long-term pattern. It's a quick starting point if you don't have your own data yet.

### Change a scheduled post on desktop

Meta Business Suite: Content › Posts & reels › Scheduled › Manage post

*Manage post is under the three-dot icon on each post.*

Click Content in the left menu, stay on the Posts & reels tab and select Scheduled. Choose the post, click the three-dot icon and select Manage post. Depending on the post's status, you can edit it, reschedule it, move it to drafts, delete it or add a collaborator.

### Schedule from the Business Suite mobile app

1. **Open Content**: Tap Content in the menu bar at the bottom.
2. **Pick the format**: Choose Posts, Reels or Stories at the top, then tap Create. The first time, allow the app to reach your photos and videos.
3. **Add text and media**: Add the caption and your photo or video, then tap Next.
4. **Schedule for later**: Tap Schedule for later, pick the date and time, and tap Schedule.

To move something later, Meta's [rescheduling page](https://www.facebook.com/business/help/393387082209354) says to tap Content, open the dropdown and select Scheduled, tap Options next to the item and tap Reschedule post. The same menu lets you edit, duplicate or delete it. Content scheduled on desktop can be rescheduled on mobile, and the other way around.

### See everything in Planner

Planner is Business Suite's calendar. Meta's [Planner page](https://www.facebook.com/business/help/1678733516458988) says it shows published content and content scheduled in Business Suite, in a weekly or monthly view. You can filter by content type (Post, Story, Reel or Ad) and by platform. Hover over an upcoming day and click Schedule to add something to it, or click an upcoming item and use Options to reschedule or delete it. If Planner is missing from the left menu, Meta says you may not have the right permissions for that account.

## How do I schedule Instagram Stories?

Instagram's in-app scheduling page covers Reels, photos and carousels, not Stories. Meta Business Suite is where Meta documents scheduling Stories, on desktop and in the mobile app.

### Stories on desktop

1. **Open Create story**: Click Create story from the Business Suite home page or the Content tab.
2. **Choose where it goes**: Under Post to, pick your Instagram profile, your Facebook Page or both.
3. **Add media**: Under Media, click Add photo/video to upload up to 10 photos or videos, or drag them in.
4. **Edit each one**: Click Edit to crop the aspect ratio, trim a video, or add text, mentions or stickers. Add link attaches a URL viewers can open.
5. **Schedule**: Under Scheduling options, choose Schedule, pick the date and time, then click Schedule.

Per Meta's [Stories page](https://www.facebook.com/business/help/972600925713914), scheduled Stories live under Content, then the Stories tab, sorted into Active, Scheduled and Archived. Select one and use the three-dot icon to publish it now, reschedule it or delete it.

### Stories on mobile

In the Business Suite app, tap Content, choose Stories at the top, tap Create, add your media and tap Next, then Schedule for later. Rescheduling works the same way as for posts.

> PostMesh doesn't post Instagram Stories. Plan Stories in Meta Business Suite and keep photos and Reels wherever suits you.

## How do I schedule Instagram Reels?

In the Instagram app, a Reel schedules exactly like a post: tap Create, then Reel, add your clips and caption, tap More options and turn on Schedule this reel. Before you export, check the [Instagram Reel size guide](/blog/instagram-reel-size) for the shape, length and cover size.

Meta Business Suite has its own Create reel flow. Meta's [Reels page](https://www.facebook.com/business/help/794942355314453) sets a few Instagram-specific rules:

- You can't create a Reel from photos if you're posting to Instagram. Use a video.
- You can't edit a Reel made from a video if you're posting to Instagram. The audio, aspect ratio and trim tools in the edit step apply only to Facebook, so finish the edit before you upload.
- For a video Reel, you choose a thumbnail under Thumbnail or upload your own image.
- On mobile, Reels are public by default, and Meta says Reels from business or creator pages can only be posted publicly.

Scheduled Reels sit under Content, Posts & reels, then Scheduled. Manage post on a Reel offers more than a photo post does, including Edit reel, Reschedule post, Change date, Move to drafts and Delete reel, depending on its status.

## How do third-party Instagram schedulers work?

Most third-party schedulers post through Instagram's official API. Meta's developer documentation sets the rules they work within, and those rules explain why schedulers can do some things the app can't, and the other way around.

### What the Instagram API requires

- A professional account. Meta's [Instagram platform overview](https://developers.facebook.com/docs/instagram-platform/overview) says app users must have an Instagram professional account, which can represent a business or a creator.
- A Facebook Page only for one of the two sign-in types. The overview says Instagram API with Instagram Login serves professional accounts without a linked Facebook Page, while Facebook Login serves accounts linked to a Page.
- A daily ceiling. Meta's [content publishing docs](https://developers.facebook.com/docs/instagram-platform/content-publishing) limit each account to 100 API-published posts in a moving 24-hour period, and a carousel counts as one post.
- JPEG images, hosted on a public server. The docs say JPEG is the only image format and media must be on a publicly accessible server when it's published.

### What the API can't do

The publishing docs say filters and shopping tags aren't supported. They also don't describe any way to set a future publish time. Instead, they ask apps that let people schedule posts to keep track of the 24-hour limit themselves. In other words, a scheduler stores your post and publishes it through the API when the time comes. If something goes wrong at that moment, the post doesn't go out on its own, so make sure your scheduler shows you each result afterward.

### Browser-extension schedulers

Some tools publish from your own signed-in instagram.com session through a browser extension instead of the API. That skips the API's sign-in, but the browser has to be open when a post is due. Instagram's [Terms of Use](https://help.instagram.com/581066165581870) bar accessing or collecting information in an automated way without Instagram's express permission, so weigh that before you use any automation on an account you can't afford to lose.

### Tools that ask for your password

Instagram's Terms of Use bar soliciting, collecting or using other people's login credentials. A tool that asks you to type your Instagram password into its own site is collecting exactly that. Skip it. Use the app's scheduler, Meta Business Suite, a tool that signs in through Instagram's own login screen, or one that never sees your password at all. If an account does get restricted, the [disabled account appeal guide](/blog/instagram-account-disabled-appeal) covers what Instagram offers.

## How do I schedule Instagram posts with PostMesh?

[PostMesh](/platform/instagram) publishes photos and Reels to Instagram right away or at a time you pick, up to 30 days ahead. It publishes through Instagram's API: you connect with Instagram Login, a Business or Creator account is enough, no Facebook Page is needed, and PostMesh never sees your password.

1. **Connect Instagram**: In Connections, choose Instagram, sign in on Instagram's own screen and approve PostMesh.
2. **Open New post**: Pick your Instagram account, plus any other networks you want the same post on.
3. **Write the caption**: Up to 2,200 characters and 20 mentions, with no more than 5 hashtags, Instagram's current limit. Give Instagram its own version if the other networks need different text.
4. **Add one photo or one video**: Instagram needs media, so text-only posts can't be sent. A video is published as a Reel and shared to your feed.
5. **Schedule**: Under When, choose Later and pick a time up to 30 days ahead.
6. **Check the result**: Posts shows whether each account accepted it. If one failed, Retry sends again only to the accounts that failed.

- When you schedule: PostMesh checks caption length, file type and size for each network you picked
- Every minute: PostMesh checks its queue for posts that are due
- At the time you picked: PostMesh publishes through Instagram's API. Your computer can be off
- Afterward: Posts shows each result, and Retry resends only to accounts that failed

*PostMesh publishes from its servers, not from your computer.*

### What can PostMesh post to Instagram?

| Content | PostMesh | Details |
| --- | --- | --- |
| Photo | Yes | JPEG, PNG, WebP or GIF up to 40 MB. Instagram gets a JPEG copy sized to fit 4:5 to 1.91:1. |
| Video | Yes, as a Reel | MP4 or MOV, 3 seconds to 15 minutes, up to 300 MB. Shared to your feed. |
| Caption | Yes | Up to 2,200 characters and 20 mentions. Keep hashtags to Instagram's current 5. |
| Carousels | Not yet | Each post is one photo or one video. |
| Stories | No | Use Meta Business Suite. |
| Text only | No | Instagram needs a photo or video. |

Photo shapes matter because PostMesh fits each photo into 4:5 to 1.91:1. To control the framing yourself, crop before you attach it; the [Instagram post size guide](/blog/instagram-post-size) lists the exact pixel sizes, and the free [Instagram photo resizer](/tools/instagram-photo-resizer) crops to them.

### What if a PostMesh post doesn't go out?

- Reconnect needed: Instagram ended PostMesh's access. Choose Reconnect in Connections and sign in again.
- Instagram needs at least one photo or video: add a photo or a video, since Instagram doesn't take text-only posts.
- A video is rejected: use MP4 or MOV between 3 seconds and 15 minutes, under 300 MB.

PostMesh shows likes and comments for the Instagram posts it sends. For reach, saves and the rest, check the Instagram app itself, including [who liked each post](/blog/how-to-see-who-liked-your-instagram-post).

PostMesh is paid, with no free plan: Creator is $29 a month with 10 connected accounts, Growth is $49 with 50, and Pro is $99 with unlimited accounts. Every plan starts with a 7-day free trial for new subscribers. Details are on the [pricing page](/pricing).

## Which way of scheduling should I use?

**Instagram app**
- Photos, carousels and Reels
- Public accounts, 25 a day, 30 days ahead
- No product tags, collaborators or fundraisers
- Instagram only, in the Instagram app

**Meta Business Suite**
- Posts, Reels and Stories
- Desktop and mobile, with a Planner calendar
- Up to 10 photos per Instagram post
- Instagram plus Facebook Pages and Groups

**PostMesh**
- One photo or one Reel per post
- Up to 30 days ahead, checked for every network
- No Stories or carousels
- Instagram plus 7 other networks

*Facts from Instagram Help, the Meta Business Help Center and PostMesh's Instagram page.*

If Instagram is your only network and you mostly post photos, carousels and Reels from your phone, the app's own scheduler is enough. Add Meta Business Suite when Stories are part of your plan, when you want a calendar on a big screen, or when a Facebook Page runs alongside. A scheduler earns its place when the same photo or video goes to several networks each week. For a broader view of the options, see [the best free social media schedulers](/blog/best-free-social-media-schedulers) and [free Hootsuite alternatives](/blog/free-hootsuite-alternatives).

You can mix them. One workable split is Stories in Business Suite, carousels and tagged shop posts in the Instagram app, and single photos and Reels that also go to TikTok, YouTube or LinkedIn through a scheduler. Nothing stops you using all three, as long as you watch the combined schedule so two tools don't post at the same minute.

## What time should I schedule Instagram posts?

There isn't one time that suits every account. The [best time to post on Instagram](/blog/best-time-to-post-on-instagram) guide compares what the published studies found, and your own numbers matter more than any study once you have a few weeks of posts. Three places give you data:

- The numbers Instagram shows for each post in the app.
- Active times in Meta Business Suite, which suggests slots from the past 7 days of follower activity.
- Your own history: note when each post went out and how it did, then compare after a month.

### What about time zones?

None of the Instagram or Meta help pages above say which time zone a scheduled time uses. If you travel, or schedule for an account whose followers live somewhere else, check the time shown on the scheduled item right after you save it, and convert from your audience's local time rather than yours.

## How do I plan a week of Instagram posts in one sitting?

Scheduling pays off most when you batch the work. This is a simple routine that uses only the tools above.

1. **Pick the week's slots**: Decide how many posts, Reels and Stories you want and on which days, using your insights or a best-time study as a starting point.
2. **Prepare the media**: Crop photos to 4:5 or 1:1 at 1,080 pixels wide and export Reels at 9:16, so nothing gets cropped on the way in.
3. **Write every caption at once**: Draft them together so the week reads as a set. Check length with the [caption character counter](/tools/instagram-caption-character-counter) and pick a few relevant tags with the [hashtag generator](/tools/hashtag-generator).
4. **Sort each post by tool**: Product tags, collaborators and fundraisers go by hand. Stories go to Business Suite. Everything else goes wherever you schedule.
5. **Schedule and review the queue**: Schedule each item, then open Scheduled content, Planner or your scheduler's calendar and read the week top to bottom.
6. **Set aside time after each post**: A scheduled post still needs you for comments and replies, so plan a few minutes after each one goes live.

**Before you tap Schedule**
- [ ] The account is public (for the Instagram app's scheduler)
- [ ] The photo is cropped to 4:5, 1:1 or 1.91:1, or the Reel to 9:16
- [ ] The caption is under 2,200 characters, with 5 hashtags or fewer
- [ ] No product tags, collaborator or fundraiser on the post
- [ ] The date is within 30 days and the time is in your audience's time zone
- [ ] Stories are going through Meta Business Suite
- [ ] For PostMesh: the account is Business or Creator and connected

*Each item matches a limit from Instagram Help, Meta's help pages or PostMesh's Instagram page.*

A free [post checker](/tools/post-checker) is useful at the caption stage too: paste a caption once and see whether it fits Instagram and the other networks you use.

> No one looks at a scheduled post again at the moment it goes out. Whichever tool you use, open the post once it's live, check the crop and caption, and in PostMesh look at Posts for any failed result you may need to retry.

## Can I schedule the same post to Instagram and other networks?

Meta Business Suite covers Instagram plus Facebook Pages and Groups, and lets you give Facebook and Instagram different text. Beyond Meta's apps, you need a scheduler. PostMesh sends one photo or video to Instagram, Facebook Pages, Threads, Reddit, X, LinkedIn, YouTube and TikTok from one composer, with a main caption and its own version for any network that needs it. It checks file type, size and caption length for every network before you send, so a caption that fits Instagram but not X is flagged early.

Each network has its own limits and habits. The [social media character limits](/blog/social-media-character-limits) table shows caption lengths side by side, and [how to cross-post to multiple platforms](/blog/how-to-cross-post-to-multiple-platforms) covers adapting one post for each network. If you're worried about posting the same thing everywhere, [does cross-posting hurt engagement](/blog/does-cross-posting-hurt-engagement) looks at what the networks themselves say. For the other networks' own schedulers, see the guides to scheduling [TikTok videos](/blog/how-to-schedule-tiktok-videos), [tweets](/blog/how-to-schedule-tweets), [LinkedIn posts](/blog/how-to-schedule-linkedin-posts) and [YouTube videos](/blog/how-to-schedule-youtube-videos).

## Questions

### Can I schedule Instagram posts from a computer?

Yes. Meta Business Suite on desktop schedules Instagram posts, Reels and Stories in a browser, and PostMesh schedules photos and Reels from any desktop browser. Instagram's help page writes its scheduling steps for the Instagram app.

### Do I need a professional account to schedule Instagram posts?

Not for Instagram's own scheduler, which only asks for a public account. Tools that publish through Instagram's API, PostMesh included, need a professional account (Business or Creator).

### How many Instagram posts can I schedule?

In the Instagram app, up to 25 a day and up to 30 days ahead. Through the API, Meta caps each account at 100 published posts in any 24 hours.

### Can I schedule Instagram Stories?

Yes, in Meta Business Suite on desktop or in its mobile app. Instagram's in-app scheduling help doesn't list Stories, and PostMesh can't post them.

### Can I schedule an Instagram carousel?

Yes, in the Instagram app, and in Meta Business Suite with up to 10 photos. PostMesh doesn't publish carousels yet.

### Why won't Instagram let me schedule a post with a collaborator?

Instagram's help page says collaborative posts, product tagging, sponsored posts and fundraisers aren't compatible with scheduling. Share that post by hand at the time you want.

### Do scheduled Instagram posts get less reach?

Instagram's scheduling help says nothing about scheduled posts being shown differently from posts shared by hand. Timing and content are what you control.

### Are Instagram drafts the same as scheduled posts?

No. A draft stays on the phone where you saved it until you share it, and uninstalling the app deletes it. A scheduled post goes out on its own at the time you set.

### Do I need a Facebook Page to schedule Instagram posts with PostMesh?

No. PostMesh connects with Instagram Login, so a Business or Creator account is enough.

### Why didn't my PostMesh Instagram post go out?

Open Posts to see what Instagram returned. The usual causes are a file outside Instagram's limits or a connection that needs Reconnect. Retry resends only to the accounts that failed.

### Can I edit a post after scheduling it in PostMesh?

Cancel it in Posts or Calendar and schedule the new version. A post that has already started sending can't be cancelled.
